Privacy and Data Policy
At Focus Collegiate, we strive to provide the secure transmission and storage of all information and documentation provided to us in the enrollment process and through the Focus Collegiate experience. We consider the privacy of our students our highest priority.
Focus Collegiate maintains a secure electronic file system for student records. If you have received an email from Focus Collegiate in error, please contact us immediately. We will promptly investigate and take appropriate action to ensure the security of the information and will likely ask for evidence of deletion from your server.
Focus Collegiate is not a “covered entity” under the Health Insurance Portability and Accountability Act (HIPAA), nor is the organization subject to regulations under the Family Educational Rights and Privacy Act (FERPA). However, we believe that our privacy and document retention and transmission policies are consistent or exceed the guidance under these regulations.
If you have more questions, read further below, consult the organization’s administration, or for general information, email info@focuscollegiate.com
Focus Collegiate Privacy and Data Guidance
During the enrollment assessment process, Focus Collegiate will communicate with third parties about a student or their family. We rely on any third party, parents, or covered entities to secure their informational releases from the student subject to their industry regulations or standards. Any communications with these entities are confidential, but Focus Collegiate may need to verify information across these third parties.
During the enrollment assessment process, a secure file will be shared with parents to communicate and safely transmit student information. Once enrolled, parent permission to view or maintain the file will be removed. Access will be limited to Focus Collegiate personnel only.
Throughout the student’s experience after enrollment, Focus Collegiate will communicate with and provide updates to parents and other family stakeholders. Focus Collegiate will also communicate with the student’s source of referral to ensure continuity of service.
Focus Collegiate will communicate with relevant university personnel and collateral service providers to ensure premium service delivery and avoid working at cross purposes. We rely on these practitioners to secure their own informational releases for this purpose. Focus Collegiate will not verify that a release is in place from the third party, as it is assumed subject to institutional policy, but it will ask for verbal consent from the student.
Students may revoke third-party communication at any time in writing. We acknowledge that our effectiveness may be compromised should this occur, and we will likely encourage the student to seek alternate support outside of Focus Collegiate.
Student records are kept in a secure, shared electronic file accessible only by Focus Collegiate employees who work directly with the student, their supervisors, and administrators via two-factor authentication.
Educational or “treatment” records received by Focus Collegiate will never be shared with any third party (including parents, colleges and universities, and other service providers), even with written student consent.
Records created by Focus Collegiate will not be shared with any third party without written, informed, and acknowledged consent from the student, except for Student Experience Summaries and Learning Support Agreements, which may be shared with parents and referral sources.
Upon termination of service, all student files, including all generated records (excluding written communication), will be limited to administrative view only and will not be transmitted without written and acknowledged consent from the student.
Records of applicants who do not enroll with Focus Collegiate are retained but limited to administrative view only and are not available for transmission or dissemination.
Our outstanding team is composed of professionals who have worked extensively in traditional college environments and are experts in helping students bridge the gap between high school and college, regardless of their learning profile. Most have extensive experience in the collegiate offices of student support, academic advising, accessibility services, residence life, or first-year experience. Many have also guided students toward independence at the secondary education level.
